This Notice applies to personal data Isomorphic Labs Limited, and its affiliates and subsidiaries (“IsoLabs”, “us”, “we”, or “our”), may collect as data controllers in connection with our talent sourcing and recruitment processes. IsoLabs is an Alphabet, Inc. company and an affiliate of Google, LLC (“Google”). 

As a data controller, we are responsible for determining how and why your personal data is collected and further used and disclosed. Personal data means any information that identifies you or can be reasonably linked to you. 

This Notice will provide answers to the following questions:

We may update or change this Notice from time to time. We will post any changes to this Notice on this page.

Types of personal data we collect

As part of our talent sourcing and recruitment processes, we may collect the following types of personal data:

  • your name, address, email address, telephone number and other contact information;
  • your resume or CV, cover letter, previous and/or relevant work experience or other experience, education, or other information you provide to us in support of an application, a future application or otherwise in connection with our talent sourcing and recruitment processes;
  • information from interviews and phone-screenings you may have, if any;
  • details of the type of employment you are or may be looking for, current and/or desired salary and other terms relating to compensation and benefits packages, willingness to relocate, or other job preferences;
  • details of how you heard about the position you are applying for;
  • any sensitive and/or demographic information processed during the recruitment process such as gender, information about your citizenship and/or nationality, medical or health information and/or your racial or ethnic origin;
  • your current notice period;
  • reference information and/or information received from background checks (where applicable), including information provided by third parties;
  • information relating to any previous applications you may have made to IsoLabs and/or any previous employment history with IsoLabs;
  • your information from publicly available sources, including online, that we believe is relevant to your application or a potential future application (e.g., your LinkedIn profile); and/or
  • information related to any assessment you may take as part of the interview screening process.

How we collect your personal data

We may collect your personal data in the following ways:

  • Directly from you, for example when you share information with us at a conference, apply for a job through our website or by other means, or when you provide personal data to us as part of the recruitment process, including within an application or interview.
  • From other individuals, for example when you are referred for a role at IsoLabs by someone else, or when your colleagues or managers provide references during the recruitment process.
  • From public sources, for example from your LinkedIn profile. 
  • From third parties, for example recruitment agencies or companies that complete reference, criminal or financial background checks (where applicable) on our behalf.

How we use the personal data we collect

Your personal data will be used by IsoLabs for the purposes of carrying out its talent sourcing and recruitment processes which include:

  • assessing your skills, qualifications and interests against our career opportunities;
  • verifying your information and carrying out reference checks and/or conducting background checks (where applicable) if you are offered a job;
  • communicating with you about potential career opportunities at IsoLabs, the recruitment process and/or your application(s);
  • creating and/or submitting reports as required under any local laws and/or regulations, where applicable;
  • arranging any accessibility or dietary arrangements you request or are necessary for you to attend any interviews;
  • where requested by you, assisting you with obtaining an immigration visa or work permit where required;
  • making improvements to IsoLabs’ talent sourcing and/or recruitment processes;
  • complying with applicable laws, regulations, legal processes or enforceable governmental requests;
  • proactively conducting research about your educational and professional background and skills and contacting you if we think you would be suitable for a role with us; and/or
  • processing information regarding your demographics as described above where we are required to do so to meet our legal and contractual obligations, such as reporting obligations to authorities and third parties and other similar requirements.

We may also use your personal data to protect the rights and property of IsoLabs, our applicants, candidates, employees, partners or the public as required or permitted by law.

‍‍IsoLabs does not make any decisions about your application by automated means without any human involvement.

If you are offered and accept employment with IsoLabs, any personal data collected during the talent sourcing and recruitment process will become part of your employment record.

If UK or Swiss data protection law applies to the processing of your personal data, our legal basis for processing your personal data

We can collect and use your personal data when one of the following lawful grounds for processing your data applies:

  • Contract: For example, we collect and process your information where it is necessary in order to take steps, at your request, prior to potentially entering into a contract of employment with you. 
  • Legitimate Interests: For example, we collect and process your personal data to identify the most appropriate individuals to join IsoLabs, whether now or in the future. If we determine you may be an appropriate candidate, we may invite you to interview. If we use your personal data to improve our talent sourcing or  recruitment processes, we do so on the basis that it is in our legitimate interests to ensure we recruit the best possible candidates. Please note that we cannot process your personal data if our legitimate interests are overridden by your interests or fundamental rights and freedoms.
  • Consent or Legal Obligation: For example, we may also seek your consent to process your personal data in specific circumstances, or process it where necessary to comply with a legal obligation or for purposes connected to legal claims.

Special category data

Special category data is personal data that needs more protection because it is sensitive. This includes health information, or data of racial or ethnic origin. In addition to having a lawful basis, in order to lawfully process special category data, we need to satisfy a special condition for processing. Where we process special categories of data, we will only do so where we can establish a special condition for processing. This includes:

  • where the processing is necessary under law for the establishment, exercise or defence of legal claims;
  • where we have obtained your consent;
  • where you have made the data reasonably accessible to the general public;
  • where the processing is required by applicable local law, including our obligations under employment and social security and social protection law; and/or 
  • where, on the basis of applicable local law, there is substantial public interest in processing your special category data, which is proportionate to the aim we are pursuing.

Who may have access to your personal data

  • Affiliates: Your personal data may be shared with our affiliates and subsidiaries in the US and in other jurisdictions to the extent we utilise shared business operational services as part of the recruitment process.
  • Referrals: If you have been referred for a job at IsoLabs by a current employee of IsoLabs, we may inform that employee about the progress of your application and let the employee know the outcome of the process. 
  • Employees: In addition to IsoLabs personnel who need to access your personal data in connection with our talent sourcing or recruitment processes, in some cases, if it is identified that you shared the same previous employer during the same period as a current IsoLabs employee, we may consult with that employee for feedback on you.
  • Applicant tracking software provider:  We use a third party service provider as part of our recruitment management and application tracking called Greenhouse. Your personal data is shared with this data processor under a contract, in accordance with applicable data protection law.
  • Other third party service providers: IsoLabs may also use service providers acting on IsoLabs’ behalf to perform certain recruitment activities described above. These service providers may be located outside the country in which you live or the country where the position you have applied for is located. We use third party service providers for the following reasons, among others:
    • for verification and background screening;
    • to provide and administer relevant interview assessments (such as coding assessments or
      other technical interview scenarios); and/or
    • for distributing contracts or documents for review and signature.
  • Courts, regulatory bodies and law enforcement agencies: IsoLabs may sometimes be required to disclose your information to external third parties such as to local labour authorities, courts and tribunals, regulatory bodies and/or law enforcement agencies for the purpose of complying with applicable laws and regulations, or in response to legal process.
  • ‍Other third parties: We may also share certain personal data with other third parties where necessary, such as your referees, or to detect, prevent or otherwise address fraud, security or technical issues, to protect against harm to the rights, property or safety of IsoLabs, our applicants, candidates, employees, the public or as otherwise required by law. It is your responsibility to obtain consent from referees before providing their personal data to IsoLabs.

When we transfer personal data internationally

IsoLabs operates across various jurisdictions, which means your personal data may be stored and processed outside of the country or region where it was originally collected, including in the United States. In some of these countries, you may have fewer rights in respect of your information than you do in your country of residence. Regardless of where your information is processed, we apply the same protections described in this Notice. We comply with certain legal frameworks relating to the transfer of data, such as the frameworks described below.

  • Data Protection Framework: Google complies with the EU-U.S. and Swiss-US Data Privacy Framework (“DPF”) and the UK Extension to the DPF as set forth by the US Department of Commerce regarding the collection, use and retention of personal data from the EU, Switzerland and UK respectively. This means that where it is necessary to transfer your personal data from the UK or Switzerland to our affiliate Google, your data is protected to a level consistent with UK and Swiss law. You can view Google’s Data Privacy Framework certification by visiting the DPF website.
  • Adequacy Decisions: The UK Government and Federal Council of Switzerland have determined that certain countries adequately protect personal data, which means that data can be transferred from the UK and Switzerland to those countries. These countries are set out in:
  • Standard Contractual Clauses: The UK and Switzerland have approved the use of standard contractual clauses (SCCs) as a means of ensuring adequate protection when transferring data outside of the UK or Switzerland respectively. Provided IsoLabs is satisfied that the relevant protections under UK and Swiss law will not be undermined for the people whose data is transferred, we can incorporate SCCs into a contract established between the parties transferring data. As a result, personal data is considered protected when transferred outside the UK or Switzerland to countries which are not covered by an adequacy decision. We rely on SCCs for our data transfers where required and in instances where they are not covered by an adequacy decision.

How we protect your personal data

IsoLabs takes appropriate technical and organisational measures to protect information about you that is collected, processed, and stored as part of our talent sourcing and recruitment processes. This includes:

  • various state of the art security measures like multi-factor authentication, data encryption and vulnerability and security management;
  • limiting access to your personal data to those personnel who have a strict business need to access your data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality;
  • Organisational measures like staff policies and training and conducting careful assessments of our service providers’ own security measures. 

Our retention of your personal data

If you apply for a job at IsoLabs and your application is unsuccessful (or you withdraw from the process or decline our offer), IsoLabs will retain your personal data for a period after your application. We retain this information for various reasons, including in case we face a legal challenge in respect of a recruitment decision, to consider you for other current or future jobs at IsoLabs and to help us better understand, analyse and improve our recruitment processes.

If you do not want us to retain your information for consideration for other roles, or if you would like us to update your information, please send a relevant email to privacy@isomorphiclabs.com. Please note, however, that we may retain some information if required by law or as necessary to protect ourselves from legal claims.

Your rights in respect of your personal data

In certain countries, you may have certain rights under data protection law. Depending on the data protection laws that apply to our processing of your personal data and our reason for that processing, this may include the right to:

  • receive a copy of your personal data. There are some exemptions, which mean you may not be entitled to receive all the data we process about you;
  • object to the further processing of your personal data;
  • request that we correct inaccurate or incomplete data about you;
  • request that we delete your personal data under
    certain circumstances;
  • request that we restrict the processing of your personal data under certain circumstances (while we verify or investigate your concerns with this information, for example); 
  • request that the personal data we hold be moved to a third party in specific limited circumstances; and/or 
  • complain to IsoLabs if you think that we have used your personal data in a way that doesn’t comply with the law.

Please submit your request to privacy@isomorphiclabs.com. We will respond to any requests in accordance with applicable law, and so there may be circumstances where we are not able to grant your request.

If you are dissatisfied with our response regarding our processing of your personal data, depending on the location of the job to which you have applied, you may also raise any questions or concerns you have regarding your personal data with the local data protection authority.
